Inventory & Stock Management Help
Learn how to manage your drink catalog, update stock levels, and keep accurate records of what’s in your bar.
📦 Overview
The Inventory section lets you keep track of every drink you sell — from bottles and packs to cartons or crates. You can view current stock, restock items, and set alerts for low inventory.
🍾 Adding a New Drink
To add a new drink to your catalog:
- Go to Inventory → Add Drink to Catalog.
- Enter the drink name and select a category (Beer, Soft Drink, etc.).
- Specify the bottle sizes per pack, carton, or crate — if applicable.
- Set the selling prices per unit (bottle, pack, etc.).
- Define a Low Stock Threshold — this helps Barman alert you when stock runs low.
- Click Save Drink to add it to your catalog.
💡 Tip: Drinks added here appear automatically in the order screens and reports.
🔁 Restocking Drinks
Restocking lets you record new stock quantities when you buy from your supplier.
- Go to Inventory → New Restock.
- Fill in the restock header (date, notes, etc.).
- Add one or more line items — choose the drink, the unit (bottle, pack, etc.), and the quantity.
- Enter the unit cost (if you track purchase costs).
- Click Save Draft if you’re not done yet, or Post Restock to confirm.
Once a restock is posted, the quantities are added to your live stock automatically.
⚠️ Low Stock Alerts
Each drink can have a “Low Stock Threshold.” When your available quantity drops below that threshold, it’s flagged in:
- The Inventory list (highlighted in red or orange).
- The Financial Dashboard under “Low Stock.”
You can adjust the threshold at any time by editing the drink in your catalog.
🧾 Editing or Deleting Drinks
To edit a drink’s details, click the Edit button next to it in the catalog. You can update its name, prices, or thresholds as needed.
To remove a drink, click Delete. Deletion is permanent, so ensure no pending orders are using it.
🏷 Assigning Prices to Rooms/Sections
Different rooms or sections (e.g. VIP Lounge, Bar Counter) can have their own prices.
- Go to Inventory → Assign Prices.
- Select a room and enter prices for each drink.
- Click Save Changes.
💡 Example: You can charge ₤2.50 per bottle at the bar and ₤3.00 in VIP.
📊 Viewing Stock Reports
To analyze your inventory performance, go to the Reports → Financial Dashboard. You’ll find:
- Top-selling drinks
- Low-stock summaries
- Historical restock and sales data
Keeping your stock updated ensures that sales, reports, and cash tracking remain accurate.
🧠 Best Practices
- Always post restocks promptly after receiving goods.
- Regularly review your low-stock alerts.
- Use consistent naming for drinks (e.g., “Guinness 500ml”).
- Back up your database or export reports weekly.
